📕BOOK COMPATABILITY WARNING

This article applies to books created in Section format. If your book utilizes a Page Ladder please see: Building and Managing Your Yearbook Index - Ladder Books

🌐Overview

Your yearbook index provides a reference showing who appears in the book and which pages they appear on. The index is generated from the People in your project, portrait placements, and people tagged in photos.

Think of the index as a snapshot of your yearbook. Whenever information changes that affects who appears in the book or where they appear, the index should be rebuilt.

📖 Building Your Index

Before building your index, make sure your portraits and People information have been added to the project.

  • Import your portraits if you have not already done so.
  • From your project dashboard, locate the Index section near the bottom of the page.
  • If the index is not already enabled, select the Print Index checkbox.

  • Once Print Index is enabled, click Rebuild Index to generate the index for the first time.
  • The system automatically calculates the number of pages required based on the People included in the project.

⚠️Index Note:

A blank page may be added to the end of the Index section to ensure the yearbook ends on an even number of pages. If you do not want the blank page, add another page to one of your other sections and rebuild the index.

Once the index is built, it will list the people included in the yearbook and the page or pages where they appear.

🔄 Rebuilding the Index

Any time information changes that affects the index, click Rebuild Index again.

Changes that may require the index to be rebuilt include:

  • Adding or removing a person
  • Adding someone to a portrait section
  • Removing someone from a portrait section
  • Tagging someone in a photo
  • Removing a person from a photo tag
  • Changes that affect the page where a person appears

After rebuilding, review the Index section to confirm the updated information appears correctly.

⚙️ Index Settings

You can change the appearance and layout of your index using Index Settings.

  • Click the settings icon for the Index section.

  • Select Index Settings.
  • Adjust the available settings as needed, including:
    • Column Count
    • Column Height
    • Heading Letter Alignment
    • Line Spacing
    • Font Style
    • Font Size
    • Font Color
  • When you are finished making adjustments, click Save and Rebuild.

Open the Index section and review the results. If additional changes are needed, return to Index Settings, make your adjustments, and select Save and Rebuild again.

🏷️ Tagging People in Photos

Tagging identifies the people shown in a photo and allows those appearances to be included in the yearbook index.

  • Import your portraits if you have not already done so.
  • Open the section containing the photo you want to tag.
  • Select the photo.
  • In the left-side panel, open Photo Info.
  • Locate Who's in this photo.

  • Begin typing the person's name.
  • If a matching person already exists in the project, select their name from the results.

  • The person's name will be added to the photo.

  • To remove a tag, click the X next to the person's name.

Repeat the process to tag additional people if the photo contains more than one person.

👥 Managing People in the Index

The information shown in the index is based on the People records associated with your project.

If you need to add, edit, remove, or review people or portrait information, see Managing Portraits and People.
